TopTenn Tennis Academy Policies

Absence Notification:

If possible 48 hours notice should be given if a student is unable to attend a lesson. In the case of group classes students can book another session at another time and / or venue to make-up the class. In the case of private classes, another lesson needs to be arranged with the coach.

 

Private Lessons:

Payment for private and semi-private lessons need to be made before the lesson.

Your professional Coach will require a minimum 48 hrs notice if you are unable to attend the lesson. Failure to notify your Coach within 48 hrs can result in a twenty-five dollar ($25) "late cancellation fee". Please swap contact details with your Toptenn Tennis Professional Coach at the first lesson.

 

Make-up Lesson Policy

We offer you tennis lessons because we want you to improve. Therefore we want every student to receive their full compliment of lessons. However we are not obliged to do so and remind you that it is your responsibility to inform us of your absence in advance and then organise a substitute lesson. Please note the following very generous conditions:

* Make-up lessons must be taken in the same term.

* A maximum of 3 make-up lessons is permitted per term

* If a class is washed out then the entire lesson will be re-scheduled. Individual make-up lessons do not apply

* Make-up lessons can be transferred to another student

* Prior notice of any absence is a pre-requisite

* Toptenn operates on very strict and small student-teacher ratios. Your fees hold your position within this small ratio and it is your choice and responsibility as to how many classes you attend. It is strictly not possible to deduct the missed lessons from your account. Our costs (eg. wages, balls, court hire, coaching rights, insurance's, etc.) remain the same whether you attend or not.

 

Inclement Weather:

Our coaching staff will make every endeavour possible to proceed with lessons. Being a Melbourne based tennis school Toptenn knows the sun can return at any moment. Toptenn's venues have state-of-the-art court conditions and drainage. If it is not pouring rain at the time, it is likely play will continue. Please take the time to read the following points so you know what do do next time it rains on tennis day.


• Toptenn will cancel lessons in unsafe conditions. An SMS notification will then be sent to effected clients.


• If in doubt phone the Toptenn Office, check the Toptenn Facebook (First Name: Toptenn, Surname: Tennis), or contact your coach directly.

• In most circumstances a Toptenn Professional Head Coach will make a weather related decision at the beginning of the lesson


Duty of Care / Indoor or Modified Sessions: We understand that we have a duty of care to each student and there are many working parents out there who depend on our supervision for the period of their childs tennis lesson. For that reason and for the purpose of continuity, in some cases an educational activity-based indoor or modified program will be conducted at each venue. Your child will never be left alone and every effort will be made to contact parents who have not escorted their child to the venue if a session is cancelled. However we reserve the right to exercise our discretion to cancel a class. Please note that we coach at several venues each of which has different facilities and situations (Eg. kids walk straight from school). Contact the office for specific wet weather policies for each venue and to pass on your work/mobile phone or babysitter's number.


• If Toptenn cancels a lesson due to inclement weather an extra Make-Up lesson will be added to the end of the term. If you would not like to take part in the session you are more than welcome to book for a make-up class. All students will always recieve their full 9 lessons each term.

 

Ladies Classes Bookings (Casual + Regular):
To help Toptenn Tennis perfect student:coach ratios so you can get the most out of your ladies classes we ask you to please follow our Bookings policy:

* (Regular) If you have paid upfront for the term of lessons Toptenn will expect you at each session that term as a Regular player, unless notified otherwise

* (Casual) If you prefer to pay casually each session then Toptenn will not expect you at a session unless you have notified your coach or the office (Txt, phone, email, etc)

 

Re-Enrolment

Toptenn Tennis has a strict 'No Pay, No Play' Policy. This is due to strict insurance obligations and program popularity. Therefore, students must registers for the upcoming term before the Registration Date (generally the final week of the current term). Students who fail to re-enrol before the Registration Date will be removed from their preferred class and their position will be offered to students on the Toptenn Waiting List.

 

Refunds

A refund will only be provided in extreme cases. These cases must be discussed with the Toptenn office for approval. Credit notes will be given when necessary.

 

Common sense is always the best policy!
