TopTenn Tennis Academy Policies

All Coaching Classes:

If at all possible 48 hours notice should be given if a student is unable to attend a lesson. In the case of group classes, another session at another time and / or venue can be arranged to make-up the class being missed. In the case of private classes, another session needs to be arranged with the coach.

 

Private Lessons:

Although there will never be "instant success" in tennis, by engaging in private lessons with a Toptenn Professional Coach you are maximising your chance of improvement, and ability to accelerate your progress.

Please note your contract with TOPTENN for a private or semi private lesson is as follows:

Payment will be made before the lessons commence.

Your professional Coach will require a minimum 48 hrs notice if you are unable to attend the lesson.

Failure to notify your Coach within 48 hrs, will result in a twenty-five dollar ($25) "late cancellation fee"

Failure to turn up for your lesson without notification incurs the full amount for the lesson. That is NO REFUNDS / MAKE-UPS are given.

The lesson is on regardless of weather (or forecasts) unless Toptenn notifies you, or if you are unsure you can contact the office or your coach direct, ask your coach for their mobile number.

In the case of semi private lessons, full payment is required regardless of number of participating students. You are paying to reserve this time, and we are committed to paying both the coach and the court hire for that lesson. It is the students responsibility to sort out amongst themselves who is responsible for the payment.



Ladies Classes:

Ladies sessions can be arranged for teams, friends, or even a family group. These sessions are usually for 4 or more players to work on matchplay strategies and also technical correction.

All Ladies sessions are $66 per hour / coach regardless of the number of students. That is, for one hour 1 coach = $66 and 2 coaches = $132. These classes need to be pre-arranged and the number of coaches specified to be there will need to be paid for.



Inclement Weather (Extreme Heat or Rain)

Our coaching staff will make every endeavour with the resources available (sponge rollers etc) to prepare the courts ready to play. Each student is guarenteed 16 lessons each semester under our current policy however please read the following to fully comprehend both our responsibilities and how we require your cooperation.



Duty of Care / Indoor or Modified Lesson

We understand that we have a duty of care to each student and there are many working mums out there who depend on our supervision for that period of the lesson. For that reason and for the purpose of continuity, in some cases an educational activity-based indoor or modified programme will be conducted at each venue. Your child will never be left alone and every effort will be made to contact parents who have not escorted their child to the venue. However in the rare event of a succession of wash-outs or heat outs we reserve the right to exercise our discretion to cancel a class. Please note that we coach at several venues each of which has different facilities and situations.(Eg kids walk straight from school.) Please note that if you elect not to participate in our indoor or modified lesson please contact the office on that day and we will try to arrange an alternative lesson for another day.



Contact the Office One Hour Prior

In the case of extreme heat or rain we would appreciate and do recommend that you could call the Toptenn Pro-Shop 1 hour prior to the commencement of the lesson just to verify the status of the lesson. We all know how unpredictable Melbourne's weather can be and a storm or cool change can always surprise us and we may need to wait until the commencement of the lesson to make such a decision. In this case we expect you to be present at the courts ready to play. Contacting the office is particularly important in the following circumstances.

It is the first week of term or the semester

It is the last week of the term or semester.

There was an indoor lesson conducted the week prior.



What should you do if you do not take your child to tennis? (E.g. Working Mums)

So that we at the office or the coach can contact you in the rare event of a cancelled lesson, please contact the office or get the coach to record your work or mobile number in his/her roll so that you can be contacted to make special arrangements.



Make-up Lesson Policy

We offer you tennis lessons because we want you to improve. Therefore
we want every student to receive their full compliment of lessons. However we are not obliged to do so and remind you that it is your responsibility to inform us of your absence in advance and then organise a substitute lesson. Please note the following very generous conditions.

Make-up lessons must be taken in the same term.

A maximum of two make-up lessons is permitted per term.

If a class is washed out then the entire lesson will be re-scheduled. Individual make-up lessons do not apply.

Make-up lessons cannot be transferred to another student

Prior notice of any absence is a pre-requisite. This is the only way this system can work.

Toptenn operates on very strict and small student-teacher ratios. Your fees hold your position within this small ratio and it is your choice and responsibility as to how many classes you attend. It is strictly not possible to deduct the missed lessons from your account. Our costs (eg. wages, balls, court hire, coaching rights, insurance's, etc.) remain the same whether you attend or not.



Re-Enrolment

All students are automatically re-enrolled for each term unless Toptenn is notified. Students will remain on the same day and time unless the Toptenn Team feels it would be beneficial for the student to be promoted. If the student is promoted the letter sent before each term commences will display this information.



Payment of Fees

Full term/semester fees are strictly due on by the first lesson of each term.



Refunds

A refund will only be provided in extreme cases. These cases must be discussed with the Toptenn office for approval. Credit notes will be given if necessary.
